Effective Date: 04.03.2025

At The Good Life Club, I am committed to respecting and protecting your privacy. This Privacy Policy explains how I handle confidentiality in coaching sessions, as well as how I collect, store, and manage your personal data in compliance with ICF’s Code of Ethics and applicable data protection laws.

1. Confidentiality in Coaching Sessions

As your coach, I respect your privacy and the sensitive nature of our coaching conversations. I adhere to the International Coaching Federation (ICF) Code of Ethics, which includes strict confidentiality guidelines.

What Confidentiality Means in Coaching:

  • All coaching sessions are confidential. I will not disclose the content of our discussions without your explicit written consent.

  • I do not share client identities, session details, or personal information with third parties unless legally required to do so (e.g., court order, risk of harm to self or others).

  • If I discuss coaching experiences for training or professional development, all information will be anonymised and used only with your permission.

2. Data Collection & Storage

What Information I Collect:

To provide coaching services, I may collect:

  • Personal details: Name, email address, phone number.

  • Coaching-related information: Notes on goals, progress, and reflections from our sessions.

  • Administrative data: Payment details (handled securely via third-party platforms), scheduling records, and consent forms.

How I Store and Protect Your Data

  • Electronic records: Client data is stored in Google Docs, which is secured with password protection and two-factor authentication.

  • Emails and communications: All email exchanges are stored within Google Mail, which is encrypted and protected by Google’s security measures.

  • Coaching notes: I take session notes using Fireflies.ai (an AI-powered transcription tool) and hand-written notes, both of which are handled with strict confidentiality.

  • Retention period: Coaching records are kept for six months after our last session, after which they are securely deleted unless you request otherwise.

3. Third-Party Services

I use third-party services for scheduling, payment processing, note-taking, and communication. Each service has its own privacy policy, which you can review below:

If you have any concerns about how your data is handled by these services, please review their privacy policies.

4. Your Rights & Choices

You have the right to:

  • Access your data – Request a copy of the personal data I hold about you.

  • Correct your data – Request corrections to inaccurate or incomplete information.

  • Request deletion – Ask for your records to be deleted (unless I am legally required to retain them).

  • Withdraw consent – At any time, you may withdraw consent for me to store or process your information.

5. Exceptions to Confidentiality

While confidentiality is central to my coaching practice, I may be legally or ethically required to break confidentiality in the following cases:

  • If there is a serious risk of harm to you or another person.

  • If required by law enforcement or legal proceedings.

  • If disclosure is necessary to comply with professional ethical obligations.
